Exhibitor Information

ACSP’s Annual Conference provides:

  • A platform to showcase your products, services, and publications in front of the academic planning community;
  • Networking with academic leaders;
  • Exposure to a targeted audience;
  • Enhanced corporate image by showing your support and commitment to the planning industry;
  • Opportunities to increase your exposure through sponsorship;
  • And, much more!

The 2019 ACSP Exhibits has been structured for exhibiting representatives to enjoy the entire conference and networking with attendees across all events, including: paper sessions, roundtables, receptions, and exhibit hours. Exhibits will be set up on Thursday afternoon, provide a full day of exhibit time on Friday, and dismantle on Friday evening. While exhibit hours are more limited this year, the opportunity to network with attendees remains available all week!

We will utilize a non-traditional setup for exhibitors and publishers by offering serpentine tables (c-shaped half circles and full circles) and a library setting for publishers with a single bookshelf to display books and order forms. The popular poster session and exhibit reception will be held Friday afternoon. The library will include unique seating options for attendees and publishers to network.

Exhibit Space Details

Exhibit space is sold on a first come, first served basis. Exhibit space is priced according to location and is confirmed when payment is received. The following exhibit space opportunities are available:

  • Single-Title, Author Not Represented by Publisher in Exhibits: $55
    Not Available to Publishers, Only Authors
  • C-Shape Exhibit Space: $495
  • O-Shape Exhibit Space: $895 (Includes Thursday Reception & Saturday Lunch)
  • Single Bookshelf: $395
  • Double Bookshelf: $795 (Includes Thursday Reception & Saturday Lunch)

Exhibit space includes the following:

  • Access to Networking with Academic Planners
  • C or O Skirted Table & Trashcan
  • Exhibit Space Identification Sign
  • Two Representative Registrations
  • Company Description & Contact Info in Mobile App
  • Admission to Paper Presentations & General Sessions
  • Group Hotel Room Rates

A maximum of two additional representatives may be added at a cost of $150 per person. A maximum of four representatives per exhibit space are allowed. Additionally, the exhibit hall will be locked during non-exhibit hours, so be sure to take your personal belongings with you when you leave.

Exhibit Space Registration

Full payment with registration form must be received by the Association of Collegiate Schools of Planning before an exhibit space location will be confirmed. Be sure to mark your top four choices on the registration form. Every attempt will be made to assign space from the choices submitted by each company. The assignment of space will be made in the order that completed contracts and full payment of space rental fees are received. In the event that this is not possible, ACSP reserves the right to assign a space that it considers comparable. Keep the following points in mind:

Exhibitor Registration Form
All onsite representative fields are required. Your form will not be accepted without this information. List name(s) exactly as they should appear on name badges. All name changes received before 30 days prior to the conference are free-of-charge, with a $25 fee within 30 days of the conference and a $35 fee for onsite changes.

Cancellation Policy
By signing the Exhibitor Registration Form, you agree to abide by all the requirements and restrictions in the Contract Terms and Regulations provided on ACSP’s website at www.acsp.org and incorporated by reference herein. You understand that this is not a contract until officially accepted by ACSP.

The full rental fee must accompany the agreement. A full refund of the space rental price (minus 15% cancellation fee) will be made upon written request received by the exhibit manager prior to July 31, 2019. A full refund of the space rental price (minus 30% cancellation fee) will be made upon written request received by the exhibit manager prior to August 23, 2019. A 50% refund will be made for cancellation requests received on or after August 23, 2019, but before September 13, 2019. No refunds will be made on or after September 13, 2019.

Contract Agreement
By filling out the form below, we hereby apply for exhibit space at the 2019 ACSP Annual Conference to be held at the Hyatt Regency Buffalo Hotel & Conference Center on October 24-27, 2019, and agree to abide by all the requirements and restrictions in the contract terms and are incorporated by reference herein. We understand that this is not a contract until officially accepted by ACSP.
