The Book Fair location is always at the Conference hotel.  This year it is at the Hyatt Regency Houston in the Imperial Ballroom East on the 3rd floor; 1200 Louisiana Street, Houston, TX  77002.  Conference registration is also located in this room.

Hosting a Reception

To secure space for an evening reception at the hotel, email Cathy Neal,  Space for your reception is complimentary, food and beverage is direct billed to you.

Attending Sessions and Special Events

Book Fair Exhibitors do not pay registration fees to attend conference paper sessions, continental breakfasts or snack breaks. Feel free to grab a program and sit in on the topics of your choice. If exhibitors wish to attend meal functions and mobile tours, tickets are available for those individual events. Tickets are required for entry and may be purchased on-site at Conference Registration.  The Welcome Reception is $65 and the Awards Luncheon is $45.

Display Options

Secure, set up and staff your own display of if your company is unable to send a representative, the ACSP staff will collect your boxes shipped to the hotel and set up your table top book display in the Fair area on your behalf. Tables will be monitored for neatness and ease of viewing the materials. Books shipped to the conference without a company representative in attendance will not be returned to the publisher and will be considered donated books for the 1/2 price ACSP book sale on Sunday morning (see more below).  Please prepare and send 200 flyers with price, ordering and contact information which the ACSP will gladly place on your exhibit table. ACSP staff cannot be responsible for collecting these order forms, but will encourage the attendee to return them to you directly.

Self-Published Authors

Authors without representation from a publishing house can display their books for a small fee of $45 per title. This is not an option for a publisher only wishing to send one title to the show.  The fee will include a pop up visual that ACSP will design with your book(s) that are being offered. Order forms for purchase, and the display copy of the book will be placed on a co-op table with other participating self-published authors. Again, this option is not available to publishing houses. Authors not willing to donate these books for the ½ price sale should pick them up Saturday afternoon. **

Banners/Electricity/Internet Access

Banners may not be hung on the walls of the exhibit room, however a banner may be pinned to the skirting on the front of the table. Only standard electricity will be provided — and upon request. Internet access is available through direct purchase with the hotel. The ACSP will assist in making the arrangements, but billing for this service will be to the exhibiting company direct.


Artwork for the conference program will be printed in black/white and should be provided by email as, .EPS, .JPG, .TIFF, or .PDF formats. Hotel Reservations

Company representatives should make hotel room reservations by calling the hotel directly. Identify yourself as attending the ACSP conference in order to get the discounted room rate provided. See our page at this site for hotel information and direct link for reservations. Be sure to tell them you are with the ACSP.


  • Even if you're setting up your own display, please notify ACSP Staff in advance with the number of boxes to expect and which shipping method is used, including tracking identification numbers.  ACSP staff cannot track missing shipments of boxes not received by the hotel without this information.
  • Contact the hotel directly if return shipping of materials is necessary: 713-654-1234
  • Packages without proper information on the label will be returned to the sender COD.
  • Payment for parcel charges of boxes more than 20lbs needs to be arranged directly between the publisher and the hotel.
  • DO NOT ship boxes to arrive more than 3 days prior to the event or a holding fee may apply.
  • Mark "ACSP" in large letters on all sides of the box.
  • Number your boxes, 1 of (total boxes), 2 of (total boxes), 3 of (total boxes), etc.

Donated Books for the ½ Price Sale

Books shipped for display without an attending company representative will not be returned to the exhibitor unless the exhibitor makes special arrangements for such service. The display books will be considered donated books. These books will be marked at ½ the published retail price and will be sold to conference attendees in the morning at the ½ Price Book Sale. Proceeds from this sale go toward student travel scholarships for the future year's conference. Each year we hope to build enough of a fund to bring 10 students to the next conference. Along with attending faculty members, students are future faculty and truly appreciate the Book Fair's offerings. Help us bring more of them to the show.


Exhibitors staffing their own displays will be asked to breakdown, pack up and secure their books on Saturday afternoon prior to the ½ Price Book Sale. Anything they do not wish to take back with them can be donated to the sale, or for free give-away if so desired.  The ACSP cannot be held responsible for the security of books you do not donate.


The Book Fair Exhibit Room will be locked by the hotel security each evening and reopened each morning upon request of ACSP staff only. No one except security will have access to the room overnight.

The ACSP accepts checks, Visa, MasterCard and purchase orders for exhibit registration advertising purchases and event tickets. All payment must be made in U.S. dollars.


Notice of cancellation of your exhibit reservation will result in a $50 cancellation fee anytime before October 5. Registration fees will not be refunded after October 5. 

For any type of advertising fees there is a $50 fee for cancellations before October 5.  There is a $200 fee for app advertising cancellations after August 5 as it will be very difficult to replace the graphics on the app.  After October 5, there are no refunds for any cancellation.
