These instructions have been revised! The ACSP now has its own abstract submission system. Please review the instructions prior to logging into the system.
PRIOR TO THE SUBMISSION PROCESS
- Propose the theme of your session to invite and confirm participating authors. There must be a minimum of three paper presentations and a maximum of five paper presentations.
- Each group of authors should designate one person as the session organizer. ACSP staff and track chairs will come to rely on this person when finalizing the details of the program. ACSP staff will work with the Organizer when something goes awry with the abstract submissions for the session.
- It will be easier to submit a Group if all group members have accounts in the new management system before the first abstract is created. Some prior organization of the group will save time later in the process. However, the system does allow for the addition of users who have not yet made accounts.
- Prior to submitting abstracts, the session Organizer should reconfirm all participating authors that they will indeed be prepared to submit their own abstract before the abstract submission deadline. It is unfortunate, but it happens often enough that authors fail to make their submission and there is potential for the session to collapse.
- Participating presenters should be aware that presenting in a pre-organized session is the ONE paper presentation allowed by conference policy. Authors should not expect to be able to present an individual paper in another session.
- Lastly, all participating authors should be reminded that all abstract submissions require the $25 submission fee. Note! Once you submit payment, you can no longer edit your abstract.
Multiple Program Placements: Multiple abstract submissions on behalf of one author will be reviewed and may possibly be accepted. However, more than one presentation of a formal paper and more than one appearance as a roundtable participant during the conference will not be allowed. It is, however, possible to present both a poster and a paper, if both proposals are accepted. Participants on the final program will be limited to: one presentation of an individual paper whether in a formal paper session or involved in a pre-organized formal paper session; one placement on a roundtable; one placement as a discussant of a formal paper session; and one placement in the poster session. These roles are not interchangeable. If you have more than one submitted paper abstract accepted and are invited to participate on more than one accepted roundtable, in fairness to everyone, we will ask you to limit your participation.
SUBMITTING THE SESSION
- With the new ACSP Abstract Submission System, there is no longer an Overview or Introductory Abstract requirement! As the Organizer however, you will be submitting your own abstract or the first abstract to be included in the session. We recommend you get to the submission site early in the season, and before the other participants in your grouping.
- At the submission site, when prompted, select "Pre-Organized Paper Session" as your abstract type. Enter the track, title of your abstract and the text of your abstract. There are also fields for references and key words.
- After you select "Continue" on the next page you will be asked if you are creating a group or joining a group. Select "Create a Group."
- You will be prompted to enter the title of the group (which becomes the title of the session, so use proper spelling and punctuation please), the number of other papers you expect for the session, and if you have a suggested discussant.
- The next page has fields for participating authors. These people should be all authors - primary and co-authors who need to be reminded about submitting their own abstract for the session. When you select, "Continue" the site will automatically deliver an email message to all participating authors with the "Share Code" for the group.
- The next step allows you to include other authors for your OWN paper that you are in the process of submitting. You must actually ADD YOURSELF as well as other participants.
- You'll then be directed to the payment steps for completion of your abstract submission.
- You can log-out at any step of the process. The abstract will remain in draft until you return to the system to complete the submission.
- Payment completes the submission and you will no longer be able to edit the abstract.
- Remind all participating authors - this is important - they too must select "Pre-Organized Paper Session" as their abstract type. If they select "Individual Paper" as their abstract type, their abstract will not be linked to your session.
Copy Kirsten Dazevedo kdd@acsp.org, or send a separate brief email to her including the title and participating authors/papers intended for your session and the name of your suggested discussant if you have one. She will help keep you posted if the session is completed or still considered "pending" by the web site. You can also check back to the abstract site to find the status of the session. If we know the name of your requested discussant in advance, we can attempt to eliminate schedule conflicts.
We can't stress this enough, really do follow up with authors before the deadline to make sure they submitted their paper. It's disappointing for all involved when a session collapses because one person failed to make the submission deadline.
PRESENTING AUTHORS IN THE SESSION
- At the submission site, when prompted, select "Pre-Organized Paper Session" as your abstract type. Do not select "Individual Paper" or your abstract will not be tied into the session.
- You will be prompted to enter the Group Share Code in order to tie your paper with the intended session. This share code should have been delivered to you by email. If you do not have a share code, contact the Organizer of your session.
- You can log-out at any step of the process. The abstract will remain in draft until you return to the system to complete the submission.
- All abstract submissions require the $25 submission fee. Note! Once you submit payment, you can no longer edit your abstract.
- Each submission will be individually reviewed, accepted or rejected.

A REJECTED ABSTRACT WITHIN THE SESSION
If a pre-organized session has a paper rejected, leaving the session with two papers or less, the preorganized session will "collapse." Remaining accepted papers will be combined by track chairs with other individual papers into a new session for scheduling.
